Summary/Objective
Reporting to the Vice President of Operations, the Project Administrator is a key role responsible for managing various projects, providing operational and administrative support across different teams, and coordinating vendor partner distribution teams to support company objectives. This individual plays a crucial role in ensuring cross-functional collaboration, project management, and process improvements that enhance operational efficiency and align with the company’s strategic goals.
Essential Functions
Develop and Manage Project Plans: Create comprehensive project plans, including timelines, deliverables, and resource allocation to ensure the successful execution of projects.
Cross-Functional Collaboration: Work with multiple teams, including marketing, vendor services, and member services, to achieve project goals, address obstacles, and maintain alignment with company objectives.
Improvement Proposals: Develop and propose improvements for board management to enhance team workflows and project tracking.
KPI Tracking: Identify and track key performance indicators (KPIs) for each Monday Board and project phase, ensuring accountability and performance measurement.
New Process Development: Develop and implement new processes to support the company’s growth and evolving needs, ensuring alignment with operational objectives.
Stakeholder Immersion: Conduct comprehensive immersion experiences with stakeholders to ensure successful implementation of new or improved processes, providing training and support as needed.
Responsibilities & Duties
Project Updates and Communication: Provide regular updates to the Vice President of Operations and other stakeholders, ensuring clear communication regarding project progress, risks, and outcomes.
Utilize Company Tools: Ensure the use of internal company tools like Monday, HubSpot, and SharePoint to maintain accurate data and track project progress.
Monday Board Management: Assess and streamline Monday Boards across departments, ensuring efficient use and collaboration through improved board management.
Member Services Support: Provide administrative and operational support to the Member Services Team by preparing member recommendation packets and facilitating processes that enhance service delivery.
Vendor Services Support: Assist the Vendor Services Team in developing and improving programs and processes that support vendor partner engagement and vendor relationship management.
Marketing Team Assistance: Collaborate with the Marketing Team to manage project timelines for events, tradeshows, and marketing campaigns, ensuring timely execution and support for promotional efforts.
Process Improvement: Continuously evaluate and identify areas for operational improvement, implementing changes that increase overall efficiency and effectiveness.

Job requirements
Education & Experience
Bachelor's Degree in Business Administration, operations management or related field preferred
At least 3 years of experience in project management and operations support roles
Proficiency in Microsoft Office software including Word, Excel, and Outlook required
Experience with Monday.com or related Work OS systems preferred
Excellent verbal and written communication skills and strong interpersonal skills
Ability to prioritize tasks and manage multiple tasks within compressed times and seek supervisory assistance as appropriate
Innovative, stress-tolerant, and strong decision-making skills
Self-motivated; a strong sense of ownership and involvement is critical
Superior organization skills with attention to detail
Proven proficiency in prioritizing work in a fast-paced environment
Proven ability to lead cross-functional teams in completing project-based objectives
Travel
No significant travel is expected except in the event of a company-wide retreat.
Work Environment
This role routinely uses standard office equipment such as computers, phones, photocopiers, and may require bending or standing as necessary.
Physical Demands
This is a largely sedentary role; however, some filing may be required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
Position Type & Expected Hours of Work
This is a full time, non-exempt position. Days and hours of work are Monday through Friday 8:30 a.m. to 5 p.m. Some flexibility in hours is allowed based on management’s approval. This is an in-office position. Work hours are Monday through Friday from 8:30 AM to 5:00 PM. Location and hours will vary based on management decisions.

Compensation
Minimum: $21/Hour - Maximum: $31/Hour
